      There is a one-time setup fee that is based on the size of your club and an annual per-user cost of just $365. The set-up fee is capped at $2,500 for any organization with 2,500+ members.

      How It Works

      We created this calendar to make operating your club easier, more organized, and increase the value to consumers. The Calendar includes operational and communication details for you to use throughout the season. The content included should be adjusted based on your season and your stakeholders to include what is relevant to them.

      The calendar runs through:

      • 8 weeks prior to the season start
      • A 16 week season
      • Post-season to AGM

      If the content and items included feel overwhelming, remember that if you implement 50% of the items here, you will be 50% better and more efficient than the previous year. You can continue to add each season building your club and resource capabilities.

      Each week is broken out into three sections:

      • The Details: outlines what is being completed that week, why it is important, and the associated documents
      • The Communications: key messaging to be shared with all stakeholders to support what is happening operationally at your club
      • Coach and Parent Communication: more detailed communication to both groups tailored to their role and experience at your club

      Frequently Asked Questions

      1. Our season is only 12 weeks and the system includes 16 weeks – can we still use it?

      Yes, you can! The content included is a guide that can be adjusted based on your season and your club.

      2. What if we miss a week?

      Jump right back in and keep going! The content is based on the overall season so if you miss a week, continue with the next week to ensure it aligns with what is going on at your club.

      3. What if we don’t have time to have a pre-season player/parent meeting?

      It is important to set the expectation at the beginning of the season and engage with parents and players to ensure they feel engaged with the club. If you are unable to have an in-person meeting, schedule a virtual meeting or try to book time before the first practice to have that connection with them.

      4. Who is responsible for implementation?

      One member of the club should be accountable for managing those who will be responsible for the execution of the system. The implementation is shared among those who support the club from an operational and communication perspective.

      5. Where do we go if we get stuck?

      6. Where does this fit in with our club’s strategic plan?

      Everything in the Club Operating System supports your club’s strategic plan. If you have not created a strategic plan, we have included in week 4 documents to guide you through the development of one.

      The FSQ team can also support the development of your strategic plan. Once established, your club’s vision, mission, and values should be included in the communication and should be the guiding principles for the operations of your club.

      7. What about our club’s Governance? Is it included in the Club Operating System?
